Borders Forest Trust is committed to protecting the privacy of all of our supporters and to keeping their data safe. Due to the introduction of new data regulations in May 2018 (the General Data Protection Regulation), we have updated our Privacy Policy to reflect the changes to law and to make Borders Forest Trust’s collection and use of data clearer. We may also update it in the future so please do check this Policy from time to time.  By providing us with your personal information, you consent to the collection and use of the information you provide in accordance with this Policy. Where we collect information about you

Borders Forest Trust collects personal data from our supporters from letters, posted response slips, email correspondence, events forms and purchase transactions.   You might give us these directly when you are subscribing to membership, making a donation, attending one of our events or making a purchase. In the cases of online transaction, we may collect your data through a third party site following your transaction such as PayPal. In such cases you would need to check their Privacy Policy too.

What personal data do we collect

The data we collect might include name, title, address, email address and telephone number and your Gift Aid status. If you attend one of our groups or events we may also collect permissions to use your quotes or images and to contact you about further events. If you subscribe to become a member, make a donation or make a purchase and use a payment card, we will collect your payment details such as credit card details or bank information for any Standing Orders. For volunteering or events, we may also collect dietary or medical details. . We also collect personal data via our website and third party payment platform in order to process membership or donations or to fulfil purchases.

How we might use your data

Your data will be used to carry out your wishes such as to administer a donation to the charity, to fulfil an order, to acknowledge a donation or membership subscription or to process a Gift Aid payment.  It may also be used to help us organise an event. If you have given us consent, we might email you news updates about our work and how you can become involved. If you have given us your telephone number we may call you to address any issues we may have when processing your donation, subscription or purchase. We might use your personal details to send you postal updates about our work, appeals for donations, or ways in which you might further support us further where we believe we have a legitimate interest to do so. At any time you can contact us to be removed from these lists.

How we keep your data safe and who has access to it

Your data will be kept on our secure server and is accessible through our database which is password protected and accessed only by key staff when required. When we send out a communication we may pass on the data necessary to a data processor such as a mailing house.  We will ensure that the data processor is UK based and complies with the GDPR and we will continue to control the processing of the data. We may also need to disclose your data for Gift Aid,credit card or Standing Order processing if applicable. Your email address and any names you give connected to that address will be held securely by our Email Service Provider. We will only keep your personal data for as long as is necessary for the relevant activity.

We may need to disclose your details if required to the Police, regulatory bodies or legal advisors.  We will only ever share your data in other circumstances if we have your consent.

Your right to know what data we are holding about you or to make changes or to ask us to stop using your data

Should you wish to know what data we hold on our database you can ask at any time and we will tell you what we hold.  You can also ask for your data to be deleted as per your ‘right to be forgotten’. You can change your preferences at any time by letting us know how you would like to be contacted in any of the ways below. You can opt out of receiving postal appeals or newsletters or all postal communications, and you can opt out of receiving email newsletters.
